STONY BROOK UNIVERSITY LIBRARIES: GIFT-IN-KIND QUESTIONNAIRE
Thank you for your interest in building the research collections at Stony Brook University Libraries.
To submit your proposed gift-in-kind for consideration, please complete the gift-in-kind questionnaire. Once received, the form will be reviewed and you can anticipate a decision within 30 days.

Stony Brook University Libraries is highly selective in its acceptance of gift collections. Only materials of very high value to the University Libraries and its support of the mission of Stony Brook University will be considered. Space limitations may also be a deciding factor in determining whether or not to accept a proposed gift-in-kind. If your proposed gift-in-kind is initially selected for acceptance and addition to the University Libraries collections, the University Libraries reserves the right to reverse that decision at any time, at its sole discretion, prior to the University Libraries voluntarily taking physical possession of the gift collection. Personal collections of published journals or books are rarely accepted.

Material gifts to the University Libraries are non-cash charitable donations. The donation process includes completing a “gift-in-kind” form that transfers physical and intellectual ownership of the collection to the university. The form requires entering an appraised or fair market value. Acceptance of any gift-in-kind is also contingent on the donor providing an itemized fair market value or itemized appraisal prior to any transfer of materials or ownership. Due to legal restrictions, the University Libraries are unable to provide appraisals. All gifts become property of Stony Brook University. The University Libraries reserve the right to determine retention, disposition, location, circulation, treatment, and other considerations related to use.

Donors may be asked to financially support the transfer, processing, cataloging, preservation, housing, and maintenance of gifts-in-kind. Funding is typically needed to make collections accessible to students, scholars, and the wider research community in person and virtually. Costs vary depending upon the format, condition, size, language(s) and format of the gift-in-kind.
