MS Exchange Server is an email-based communication and messaging server used at corporate and enterprise level. MS Exchange Server is preferred in organization enriched with advanced security features to protect against all the vulnerabilities like virus attacks, unwanted spam messages and any anonymous access via hacking. An Exchange Server works in conjunction with MS Outlook and acts as the mail server storing email, journal, and notes stored in a single database named as EDB or Exchange database. The universal fact that no computer file is immune to corruption goes with EDB file as well that is vulnerable to corruption. Although newer versions of MS Exchange Server are more secured then older, even then EDB files get corrupted owing to several factors. You can perform the manual steps and also use the EDB to PST Converter tool to convert EDB to PST.

Corruption causes In EDB File

  • A technical glitch in Internet connectivity or abrupt power outage leading to sudden Exchange shut down,
  • Downtime of MS Exchange Server or unwanted error in the server like the breakdown of Exchange information store, virus attack or hardware failure and many more.

MS Exchange server downtime can hamper the smooth email communication disallowing users to send and receive emails or even access data in EDB file. This issue can be resolved by applying the manual process as provided by Microsoft inbuilt utility to access EDB files in MS Outlook. As MS Outlook does not read EDB files and these files are inaccessible in Outlook email system so we need to recover corrupt EDB and convert into PST file format. You cannot directly import EDB to PST as it harms the files as this can be done with a utility, called ExMerge.exe, provided by Microsoft. This utility works well in the sense that it recovers emails from normal as well as corrupted Exchange database file and subsequently saves them into PST data file format of MS Outlook email application.

ExMerge.exe Installation Process

exe-save-iconA basic mandatory requirement includes installed Microsoft Exchange Server 2003 on your PC in conjunction with admin tools of Exchange 2003.

  • First of all, you need to download the ExMerge.exe from the Internet.
  • Install Exmerge executable file as an administrator and then configure it.
  • When the .exe is finally configured, then log into your Exchange Server account with Exchange Administrator rights.

Notable things prior to using ExMerge.exe

  • You must have full permissions on all the selected mailboxes to be merged.
  • Make sure that MS Outlook client and MS Exchange Administrator programs installed on your PC.
  • When using Exchange Server 2003 as an Exchange administrator you simply have no rights to access no rights to open the mailboxes. This can be resolved by going through the Security tab in the recovery storage group. There you can locate Exchange Administrators Group with explicit deny rights for Send as and Receive as. Overwrite it to give them full access.

Now you can log into your Exchange Server as soon as ExMerge is installed and configured.

Step 1: First you have to launch the ExMerge.exe on your local server.Launch ExMerge.exe
The MS Exchange Mailbox Merge Wizard will pop up. Now click Next to start the process.

Step 2: Select from One Step Procedure or Two Step Procedure to proceed

You need to select Extract or Import (Two Step Procedure).

Step 3: You have two steps either Step 1 or Step 2.

Select Step 1: Extract data from an Exchange Server Mailbox. Click Next to continue the process.

Step 4: Provide the name of MS Exchange Server from which you would like to extract data.

On filling all the desired information click Next to continue the process.

Step 5: Now select the database (in case if multiple databases are there in Exchange Server) from which you want to extract data.

Then select the database and click Next to continue.

Step 6: Now select the mailbox(s) you wish the program operate against.

Step 7: Here you need to select a folder for the new PST file. Click Change Folder.

Step 8: Once the manual process is completed successfully, then click Finish button to finish the process.
